Class Credit Pack Launch Checklist ================================== A step-by-step checklist for designing, pricing, documenting and launching a class credit pack so the terms, the tracking and the front desk are all ready before the first pack is sold. [ ] Write down your current drop-in price and the variable cost of delivering one attended class, including instructor share, supplies and card fees. [ ] Choose at most two or three pack sizes, each with a clearly stated per-class price, and drop any size that does not serve a real group of members. [ ] Run each pack through the pricing calculator and check the contribution margin per attended class, not just the margin per pack. [ ] Confirm that the largest pack's per-class price does not undercut your monthly membership for a member who attends often. [ ] Set an expiry window that is proportionate to the pack size, and decide whether the window starts at purchase or at first use. [ ] Decide whether you will offer a paid extension, a freeze for injury or travel, or neither, and write the rule down in plain words. [ ] Check your state's rules on prepaid credits, expiry and health club contracts with an accountant or attorney before publishing terms. [ ] State the cancellation cutoff in hours, and write what happens to the credit on a late cancel and on a no-show. [ ] Decide whether the first no-show in a given period is forgiven automatically and whether a late cancel carries a lighter consequence than a no-show. [ ] Decide whether credits can be shared with a family member, whether a pack is refundable after first use, and how a refund is calculated. [ ] Write a one-page terms sheet in plain language covering price, credit count, expiry, cancellation, refunds and transfers, and date it. [ ] Set up each pack as a product in your tracking system with its expiry rule attached, so the rule is applied automatically rather than by hand. [ ] Confirm that every balance change will be stored as a dated event with a reason and a name, not as an edited running total. [ ] Require a written reason for every manual credit adjustment and decide which staff members are allowed to make one. [ ] Test a full cycle with a staff account: purchase, booking, check-in, late cancel, no-show, refund and expiry, and confirm the balance is right at every step. [ ] Check that members can see their own balance, the expiry date of each pack and their full history without asking the front desk. [ ] Set up a purchase confirmation that states the credit count, the expiry date and where the member can read the terms. [ ] Schedule expiry reminders at points that suit your window, for example a few weeks and then a few days before credits lapse. [ ] Brief every front desk staff member and instructor on the rules and on how to check a member in correctly, and keep the terms sheet at the desk. [ ] Decide how you will report total outstanding credits each month, who reviews the figure, and where it is filed for your accountant. [ ] Pick a launch date, announce the packs to existing members first, and note the date so redemption can be compared later. [ ] Put a review date on the calendar roughly three months after launch to look at breakage, disputes, adjustments and margin, and adjust the terms if needed.
